How to set up online bookings for a hair salon – step by step

If you run a hair salon and still handle bookings via phone or messages, this guide is for you. We’ll show you how to set up online bookings in EasyBooking — from registration to your first appointment.

The whole process takes less than 30 minutes. After that, the system works on its own.

What you’ll need

  • An email address for registration
  • A list of services you offer (haircut, coloring, highlights…)
  • Prices and duration of each service
  • Your salon’s working hours
  • A photo or logo (optional but recommended)

Step 1 — Registration and profile setup

Go to dev.hoberto.com/easybooking/ and click Create account. Registration is free and does not require a payment card. You get full access to all features for 30 days.

After registration, set up your basic business details: salon name, address, phone number, opening hours. Customers will see this information in your booking form.

Step 2 — Add services

This is the most important step. In the Services section, add each service separately:

  • Service name (e.g. Women’s haircut)
  • Price in euros
  • Duration (e.g. 45 minutes)
  • Description (optional — visible to customers)

For a hair salon, you’ll typically add: women’s haircut, men’s haircut, coloring, highlights, perm, blow-dry, beard trim, etc. You can edit or hide services anytime.

Step 3 — Add staff

If you work alone, just add yourself. If you have colleagues, add each one separately. Customers can then choose a specific hairdresser or let the system assign one based on availability.

Set working hours and days for each staff member. The system will show only available time slots.

Step 4 — Set up notifications

Enable automatic SMS and email reminders. Recommended setup:

  • Email confirmation immediately after booking — customer gets all details
  • SMS reminder 24 hours before — the most effective way to reduce no-shows
  • SMS or email for cancellations — so you know instantly

You can customize the SMS text. It can include customer name, time, address, and your contact.

Step 5 — Share your booking form

After setup, you’ll get a unique link to your booking form. It looks like your own website — with your logo, colors, and photos.

Where to share it:

  • Instagram bio — customers book directly from your profile
  • Facebook — add a “Book Now” button
  • Google Business profile — customers find you via maps
  • Your website — embed as iframe or button
  • QR code — print and place in your salon

Your first online booking

Most salons get their first online booking within 48 hours after sharing the link. Customers adapt quickly — and phone calls start to decrease.
